The rules you set decide whether your prop firm is sustainable. Too loose and payouts exceed revenue; too strict and nobody buys challenges. This guide explains the standard rule set, how drawdown works and what your software must enforce automatically.
The Basic Structure of a Challenge
Most prop firms use a pass/fail evaluation: a trader buys a challenge, trades a simulated account under defined rules, and if they pass they receive a funded account with a profit split. Common models are one-phase, two-phase and instant funding. The rule set typically includes:
- Account size – for example 10k, 50k, 100k
- Profit target – percentage to reach per phase
- Maximum daily loss – the limit on loss within one trading day
- Maximum overall drawdown – the limit on total loss from the starting balance or peak
- Minimum trading days – prevents lucky one-day passes
- Time limit – some firms have none
- Restricted behaviors – such as martingale, news trading or copy trading
Drawdown: Static vs Trailing
Static drawdown is fixed from the initial balance. On a 100k account with a 10% limit, equity falling to 90k fails the account, regardless of growth in between.
Trailing drawdown follows the highest balance or equity reached, so the cushion shrinks as profits accumulate unless it is capped. It is stricter and must be clearly explained to buyers.
Balance-based and equity-based calculation also differ: equity-based drawdown counts floating losses, which is what most traders expect from a risk rule.
Why Automated Enforcement Is Essential
Manual monitoring does not scale beyond a handful of traders. Breaches can occur in seconds, so your system needs to watch equity continuously and act immediately, disabling trading and updating the status in the CRM. Our Prop Fund Broker CRM includes drawdown plugins and related features for this reason.
Designing Rules That Sell and Survive
- Be transparent. Hidden or ambiguous rules cause disputes and chargebacks.
- Benchmark the market. Look at competing firms’ rules and price points before finalising.
- Model your economics. Estimate pass rates, payout rates and challenge revenue before launch.
- Offer tiers. Cheaper challenges with stricter rules and pricier ones with generous rules appeal to different buyers.
- Plan scaling. Reward consistent funded traders with larger allocations.
Risk Controls on Your Side
Since evaluation accounts are simulated, firms commonly manage exposure from funded accounts through B-book netting or hedging with a liquidity provider. Learn the trade-offs in A-book vs B-book. Always seek legal advice on how your jurisdiction treats prop trading offers and marketing claims.
